How stock works
Mo Dokan keeps quantities and values for every item you buy and sell. Sales, purchases and the stock vouchers move stock in and out; the stock reports and the Balance Sheet read it back.
The parts
| Part | What it is |
|---|---|
| Stock items | Each thing you sell or buy: “Basmati Rice”, “Sunflower Oil”. See Stock items. |
| Stock groups | Families of items for reports: “Grains”, “Oils”. See Stock groups. |
| Stock categories | A second, independent way to classify items, such as by brand or quality. |
| Units | How an item is counted: Nos, Kg, Ltr, Box. See Units. |
| Godowns | Where stock is kept. Every company has a Main Location. See Godowns. |
Stock and the accounts
With Integrate Accounts with Inventory on (the default, in Company Features), the value of your stock flows into the books by itself:
- Each item's opening stock is part of your opening balances.
- The closing stock value appears in the Balance Sheet and in the Trading account, so gross profit is right without any manual entry.
- How each item is valued is set by its valuation method.
Selling more than you have
A company-wide setting decides what happens when a sale or issue would take an item below zero. It is on the Voucher Types page (Negative stock on outward vouchers):
| Setting | What happens |
|---|---|
| Block (the default) | The voucher is refused: “Insufficient stock for item …”. Record the purchase or receipt first. |
| Warn | Mo Dokan warns, and you decide. |
| Allow | Stock may go below zero. |
While you type a sale, a line that would go negative is flagged at once.
Inventory features
Turn on only what you need in Company Features: Multiple Warehouses, Batch Tracking, Barcode, Multiple Price Levels, Discount Column in Invoices, Separate Actual & Billed Qty, and the manufacturing features.
