Units
A unit is how an item is counted. Common units, with their GST unit codes (UQC), are ready in every company.
Create a unit
- List of Masters → Units → New. Or press Alt+C in an item's unit field.
- Choose the Type, then fill it in and save.
| Field | What it is |
|---|---|
| Type | Simple — one unit, such as Nos or Kg. Compound — one unit made of another, such as 1 Box of 12 Nos. |
| Symbol, Name | The short form shown everywhere (Kg) and the full name (Kilogram). |
| GST UQC | The GST Unit Quantity Code used in GST returns, such as KGS or NOS. |
| Decimal places | How many decimals a quantity may have. 0 means whole numbers only — right for pieces and boxes. |
| First unit, Conversion, Second unit | For a compound unit: how many of the second unit make one of the first (1 Kg = 1000 Gm). |
| Active | An inactive unit is no longer offered for new items. |
Alternate (pack) units on an item
An item can be bought in one unit and sold in another — rice bought by the Bag and sold by the Kg. On the item's More Details, set the Alternate (Pack) Unit and 1 pack = N primary (1 Bag = 16 Kg). Vouchers then accept either unit and convert.
Rules
RuleA unit used in transactions cannot have its decimal places reduced — that would re-round quantities already recorded. Keeping or increasing them is fine.
RuleA compound unit needs two different, existing units and a conversion greater than zero, and cannot be built from itself.
RuleAn item\’s pack unit must differ from its primary unit, and its conversion must be greater than zero.
RuleThe standard GST units cannot be deleted or deactivated, and their symbol and UQC cannot be changed. A unit used by an item, or inside a compound unit, cannot be deleted.
