Ledgers

A ledger is one account: a customer, a supplier, a bank account, an expense such as rent. Each ledger sits under a group, which decides what kind of account it is.

Create a ledger

  1. List of Masters (L) → Ledgers → New.
  2. Type the Name and choose Under Group. The screen shows only the fields that group needs.
  3. Enter the Opening Balance, if any, and choose Dr or Cr.
  4. Save with Ctrl+A. The form clears for the next ledger; Esc when you are done.
FasterWhile entering a voucher, a ledger that does not exist yet can be created on the spot: press Alt+C in the ledger field.
Alter Ledger for a customer: name, Under Group Sundry Debtors, notes that it is a party ledger, bill-by-bill, Active, opening balance with bill-wise opening bills
A customer (party) ledger. The notes under the group say what applies to it.

What each kind of ledger asks for

Opening balances

Starting mid-way? Enter each ledger's balance on the day your books begin: what customers owe you (Dr), what you owe suppliers (Cr), your bank and cash balances (Dr), your capital (Cr).

RuleA ledger under a Profit & Loss group (sales, purchases, incomes, expenses) must open at zero — a new year starts those at nothing.
RuleWhile inventory is integrated with the accounts, the Stock-in-hand ledger cannot be given an opening balance. Opening stock is entered on each stock item instead, so the books and the stock reports always agree.

Opening bills (customers and suppliers)

For a party that keeps bill-by-bill balances, break its opening balance into the unpaid bills: + Add bill, then the bill reference, date and amount. Those bills then appear in the outstandings with their real age.

RuleEvery opening bill needs a reference and an amount; a reference can be used only once; and the bills cannot add up to more than the opening balance. Any part not broken into bills shows as one “Opening Balance” line in the outstandings.

Create many at onceMulti Ledgers on the Ledgers list: one row per ledger.
Stop using a ledgerSet Active to No. It stays in old vouchers and reports, but new vouchers cannot use it.
